Business Development & Executive Support Coordinator

About the Role:

An organization is seeking a proactive, organized, and results-oriented Business Development & Executive Support Coordinator to provide strategic administrative support while driving business development initiatives. This role is ideal for someone who enjoys research, relationship building, sales outreach, and supporting executive-level projects.

Key Responsibilities:

Business Development & Partnership Growth

• Research and identify potential clients, sponsors, strategic partners, and collaboration opportunities

• Conduct outreach through email, phone, LinkedIn, and other communication channels

• Build and nurture relationships with prospective partners through consistent follow-up

• Support the development of sponsorship proposals, partnership presentations, and business pitches

• Maintain accurate records of outreach activities and business development efforts

Executive Support & Opportunity Management

• Research speaking engagements, conferences, grants, fellowships, awards, and funding opportunities

• Prepare and submit professional applications, proposals, and supporting documentation

• Maintain submission calendars, deadlines, and executive schedules related to strategic initiatives

• Draft biographies, abstracts, executive correspondence, and presentation materials

• Coordinate meetings and assist with executive-level projects and priorities

Sales & Client Outreach

• Conduct prospect research and qualify potential business opportunities

• Perform outreach and discovery conversations with prospective clients and partners

• Communicate the organization's value proposition professionally and confidently

• Schedule meetings and support the conversion of qualified opportunities

• Track outreach activities, follow-ups, and sales metrics using CRM platforms or spreadsheets

AI & Productivity Support

• Utilize AI tools such as ChatGPT, Claude, Gemini, or similar platforms to streamline daily workflows

• Leverage AI to assist with research, proposal writing, outreach campaigns, and content creation

• Identify opportunities to automate repetitive tasks and improve operational efficiency

• Support process improvements through technology and productivity tools

Administrative & Project Coordination

• Organize digital files, databases, and business documentation

• Prepare reports, meeting notes, presentations, and executive materials

• Monitor project timelines and follow up on action items

• Maintain organized records and ensure documentation remains accurate and up to date

• Provide administrative support across business development initiatives and executive operations

Qualifications & Ideal Traits:

Must-Have

• Proven experience in Business Development, Sales, Executive Assistance, Partnership Management, or a similar role

• Excellent written and verbal English communication skills

• Strong phone presence and relationship-building abilities

• Exceptional organizational and time management skills

• Ability to manage multiple projects and deadlines simultaneously

• Strong research and analytical skills

• Highly proactive, detail-oriented, and resourceful

• Proficiency with Google Workspace and Microsoft Office

• Comfortable using AI tools to improve productivity and workflows

• Ability to work independently in a remote environment

Preferred

• Experience with grant writing, sponsorship proposals, or fundraising initiatives

• Background supporting executives, entrepreneurs, nonprofits, or public speakers

• Experience preparing conference, fellowship, or speaking engagement applications

• Familiarity with CRM platforms such as HubSpot or similar systems

• Experience with LinkedIn Sales Navigator, Apollo, or other lead generation tools

• Project coordination or project management experience

Working Environment:

• Fully Remote

• Part-Time (Approximately 20 hours per week)
