Marketing Project Manager, Paid Media

We're looking for a highly organized, proactive Marketing Project Manager to build the operating system for our paid media team, and then run it.

Sweat Pants Agency manages around 57 brands and spends between $5M and $10M a month across Meta, Google, TikTok, and AppLovin. We're the only agency behind two INC #1 fastest growing brands from zero. Our average client stays with us for over three years.

Our email and SMS side is exceptionally well run. Project management there is tight, the templates exist, the dashboards are live, and nothing slips. Our paid media side is not there yet, and that's the job. This role is paid media only, so you won't be splitting your attention across two teams.

Roughly 25 to 30 accounts sit on the paid media side and are yours to keep in order. You'd be the first person in this seat, which means you're not inheriting a process. You're designing one.

The first things you'd own

We think in rocks, meaning the things that need pushing uphill. Here are ours, in priority order.

1. Capacity planning. Right now we don't have a real model for who is working on what, how loaded they are, or what happens when a new account lands. You'd build it: a live view of capacity across media buyers, designers, and video editors, with the ability to see an overload coming two weeks out instead of the day someone misses a deadline.

1. Creative workflow and process. Creative is our biggest bottleneck and it's cross functional. It spans our graphic design team, our video editors, and our media buyers who double as creative strategists. There's no single pipeline from request to delivery right now. You'd build it, run it, and be the person who guarantees we hit the creative volumes we owe clients every month.

1. Creators and UGC. We source creators constantly and there's no system behind it. You'd own sourcing across Billo, Backstage, email, and wherever else the right person is. That means negotiating rates and turnaround, tracking orders, managing usage rights so we never run an ad we've lost the rights to, tracking costs per account, and making sure markups land correctly on client invoices. If you haven't done this before, you should be genuinely comfortable asking a stranger for a better rate.

1. Client onboarding. We have a process and it needs refining, by someone who does this for a living rather than by me. Account access collection (Meta Business Manager, Google Ads, Klaviyo, Shopify, TikTok), ClickUp setup, reporting and dashboard configuration, so every launch feels identical.

What you'd do day to day

• Run ClickUp as the single source of truth. Build and maintain templates, recurring tasks, intake forms, automations, and dashboards. Every account has a current status and a named owner, always.

• Own capacity planning across the paid media team and flag overload before it becomes a missed deliverable.

• Track every creative deliverable from request to delivery, including revisions and approvals, and QA the work before it reaches a client.

• Source, negotiate with, and manage creators. Track orders, usage rights, and costs.

• Own client onboarding end to end and standardize it so every launch runs the same way.

• Build landing pages and advertorials using Claude Code from time to time.

• Make sure client reporting and dashboards are set up correctly and stay accurate for every account.

• Build internal tools, automations, and living SOPs using AI so the whole team runs faster and the same way every time.

• Catch gaps in communication and delivery before they escalate, and drive follow ups to closure.

• Schedule and coordinate recurring client and internal meetings, capture action items, and make sure they actually get done.

• Flag at risk accounts early and escalate.

About the landing pages

We don't sell landing pages as a service. We build them anyway, because a weak page is the most common reason good creative doesn't convert, and waiting on a client's dev team costs us weeks.

Our media buyers already build pages this way. You'd do the same: advertorials, presell pages, and landing page variants built with Claude Code off existing templates and shipped to Shopify or the client's stack. You don't need to be an engineer and you won't be architecting anything from scratch. You need to be someone who can take a brief, work with AI to build the page, QA it, and ship it, and who finds that interesting rather than terrifying.

How we work, and please read this part carefully

This is the part most job posts leave out, and it's the part that actually determines whether you'd be happy here.

We give a lot of autonomy and we mean it. Nobody here is on a time clock and nobody ever will be. If I have to think about what you're doing with your hours, we've already lost. I judge outcomes, not activity.

The flip side is that I'm not a gatekeeper. One of the biggest red flags for me is someone who asks a lot of permission questions. Can I change this, should I do that. No. Just do it and show me. If you need a company card to solve something, you'll have one. You have full trust on day one. It's only ever lost, never earned.

Ownership is the thing we care about most. "That wasn't my role" is a disqualifier here. If creative is the bottleneck on an account, you go fix creative, whether or not it was in your scope. We've all done work outside our lane to get the result.

We judge the first 30 days harshly. We're looking for you to take action early and show that you're self directed. We usually know quickly, and it rarely turns around. What I can tell you is that people who make it past that point almost never leave. Our team retention is exceptional.

Mistakes are fine. Patterns aren't. You'll never hear me raise my voice. When something breaks we look at the process, not the person. My Slack tagline is "everything's my fault." But if the same thing breaks repeatedly, that's a fit problem.

My job is to protect the team. We have let go of clients for being unkind to our people and we'll do it again. I ask you to put clients first, and if there's ever a problem, tell me, because I'll put you first.

I like being wrong. Tell me there's a better way. Nothing here is sacred and everything can change.

Where this goes

On our email side, project management became the pipeline into strategy. Several of our email strategists started as PMs. We're building the same path on paid media. If you want to end up as a media buyer or creative strategist, this is the seat that gets you there, and you'll get your hands dirty along the way, writing creative briefs, launching ads, and sitting in on account reviews.

Elite organization and follow through. You close loops without being chased.

You build project management systems, you don't just work inside them. Hands on experience standing up or substantially rebuilding a system in ClickUp, Asana, or Monday, including spaces, custom fields, templates, statuses, intake, automations, and dashboards. We will ask you to walk us through one you personally designed.

•
Highly AI enabled, and comfortable building rather than just prompting. You've used Claude, Claude Code, or a comparable agentic tool to actually make something, whether that's a page, a dashboard, an automation, or an internal tool. Tell us what it was and what it replaced. This is non negotiable and we test it.

•
Proactive problem solver who anticipates gaps rather than reacting to them.

•
Exceptional written and verbal communication. This role is partly client facing, so English fluency is required.

Comfortable negotiating. A meaningful part of this role is talking to creators about rates, timelines, and deliverables.

Comfortable juggling many concurrent projects and context switching across accounts.

Detail obsessed, with a high standard for quality and accuracy.

Requirements

• 2+ years in project management, creative operations, account management, or agency operations, preferably in a marketing or creative agency setting.

• Proven ability to manage timelines and deliverables across many projects at once.

• Hands on experience building and managing a project management system in ClickUp or a comparable tool. This is a hard requirement.

• Demonstrated AI building, not just AI usage. This is a hard requirement.

• Working hours with meaningful overlap with US business hours.

• Bonus: experience with paid media or DTC ecommerce.

• Bonus: experience sourcing and managing UGC creators or influencers.

• Bonus: familiarity with Shopify, Figma, or front end tooling.
