Position Summary
The Programs Administrator provides administrative and member support for the Aviation Safety Action Program (ASAP) and Safety Management System (SMS). This position supports program enrollment and ongoing administration, processes ASAP reports, coordinates required program reviews and reporting, assists with ERC meeting administration, and provides technical and program support to participating members.
This role also oversees the administrative aspects of ASAP and offers technical support to members, coordinates start-up processes, manages report processing, and facilitates ERC meetings. Additionally, provides essential support to the Executive Director in accounting administrative duties.
Duties & Responsibilities
- Provide day-to-day program and technical support to ASAP/SMS participating members.
- Coordinate ASAP/SMS program start-up and onboarding processes.
- Process ASAP reports across all ACSF ASAP servers.
- Assist with coordination and administration of Event Review Committee (ERC) meetings.
- Conduct required two-year reviews of ASAP Memorandums of Understanding (MOUs), coordinating with operators and applicable FAA Flight Standards District Offices (FSDOs).
- Generate and submit required annual ASAP reports.
- Generate and submit required quarterly ASAP reports.
- Maintain accurate ASAP program records and administrative documentation.
- Assist with member questions, program updates, and other ASAP/SMS administrative needs.
- Support other ACSF program-related administrative activities as assigned.
- Travel as needed to ACSF and industry events, including NBAA-BACE, the ACSF Safety Symposium, and ACSF Meet Ups.
- Provide administrative support to the President and Director of Operations as needed.
Location
ACSF is a virtual organization; all employees must live in the United States.
Reporting Structure
This position reports to the ACSF Director of Safety.
Travel
This position will require 5-10% domestic travel throughout the year.
ADA Specifications
This is a largely sedentary position that requires the ability to speak, hear, see and lift small objects up to 20 lbs.
